I have operator setup so that an incoming call hits the extension of a call group (100) which at the moment only contains one phone the receptionist.

If the receptionist does not respond with in 10 seconds the call forwards to a second call group (101) which contains a number of other phones.

This works well, but what we are now experiencing is that when a second or third call comes in and the receptionist is busy on the phone her phone is ringing for 10 seconds and then forwarding to 101. If she is in the process of trying to transfer a call she can't transfer the call with out waiting the 10 seconds for the second call to move queues.

I can't at the moment see a way to say if incoming call comes into call group 100 and all phones in call group 100 are in use automatically move to call group 101.

Is there a way to do this?

Have a look at the phone's configuration. You need to tell the phone to signal "busy" immediately if a call is in progress.
