Webmail cannot be used for this.
You can use an email client with Flags (each user have a own Flag and email signature for beeter identification).

For this functionality, you will create a new email account. Lets call it team<_at_>domain.com. Then you log in as team and share the folders you wish to with the individuals that need access. Then those individuals will log in with their own credentials. They would click the little gear next to shared folders and select team and the folder(s) you just shared. Then each user is looking at the actual mailbox. There is only one copy of a message. Therefore, if one user does something (i.e. read or delete and email), then all users would see that change in that shared box.

Maybe a different approach with a better workflow.

- Create a Public Folder
- Add all members that need to see the mails to that folder/mailadress with read/write rights
- Create a mail alias that moves any mail to this alias into the public folder

A public folder is a folder in your mail program, everyone with the given rights has access to. Like a shared folder in the network, just with mails. We use this for our info<_at_>... mail adress.

This is the basis.

Now there are many approches how to organize it, some ideas here (your idea with red selection if read etc. wont work in any mail program).

Two ideas:

- Create subfolders in the public folder per user with access. If someone will handle a new mail, he will move the mail to his folder in the public folder. This way everyone has access to all mails received and who handles them. OR he moves it to his own inbox, but this way nobody knows about the mail or has access. General access to the users mail inbox is a REALLY bad idea and at least in EU countries is against the GDPR

- If a new mail is spottet, the user rightclicks and selects a category (define one per user). This way everybody knows the mail is already handled and by whom
